Admin Quick Start Guide

Take your company from empty to reps knocking — import leads, add your team, and assign the work.

Getting Started8 minPublished

The short version

  1. 1Sign in on a computer and open the Console.
  2. 2Import your lead list, and pick a rep to assign it to in the same step.
  3. 3Add your team by email — each person sets their own password.
  4. 4Check nothing is left assigned to nobody, then read the Dashboard.

This is the once-only setup. By the end of it you’ll have leads in the system, a rep who can sign in, and every lead sitting on somebody’s phone. It takes about ten minutes.

If you only remember one thing from this page, make it the part about assigning leads — it is the single most common reason a new team reports the app is broken.

1. Sign in and find the Console

  1. Sign in on a computer

The app opens on the field screens first — that is what your reps see. The office side is separate.

  2. Open the Console

On a laptop it is the Console entry at the bottom of the left-hand bar. On a phone it is under More → Admin console.

You land on the Dashboard. On a brand-new company it is empty, and that is expected — there is nothing to report on yet.

2. Bring in your leads

Go to Import leads(opens the app in a new tab). It is a four-step wizard, and nothing is written to your account until the last step — you see exactly what will be saved before it is saved.

  1. Drop your file in

A spreadsheet export, or paste the rows straight out of a sheet. The first row has to be the column headings.

If it refuses your file it will say why in plain terms — an Excel workbook, a PDF or a Windows shortcut each get their own message telling you what to do instead.

  2. Check the columns

It guesses the mapping from your headings and shows you the guess with an example value under each one. Read it before you continue.

The street address is the only column it cannot work without. Everything else can be blank, filled in later, or worked out.

  3. Place the addresses on the map

A lead with no map position cannot appear on a map or in a route, so any row without coordinates needs looking up. Press the button and it does them in batches.

Each row comes back marked with how precisely it was found — on the house, on the block, or nearby only — so you can see what you are importing.

  4. Choose who gets them, then import

This is the step that matters. See the next section.

3. Assign the leads — the step not to skip

A rep’s phone only ever receives leads that are assigned to them.

That is deliberate: it is what stops a five-thousand-lead database syncing onto every handset. The consequence catches everybody out once:

There are three ways to do it, and the first is the cheapest:

  1. On the import screen, as you import

Pick a rep under Assign to. One dropdown, before the work exists.

You can also type a territory name here, which groups the batch so you can find and reassign it later as a unit.

  2. Afterwards, in bulk

Go to Leads, set Assigned to → Unassigned, tick the header checkbox to select everything shown, choose a rep in the bar that appears, and press Apply.

The Dashboard also shows an amber banner whenever anything is unassigned. That banner is not a statistic — it is a job.

  3. By area, for a whole patch

Territories → New territory. Tap points on the map to outline an area and the count of leads inside it moves as you go. Name it, choose a rep, press create, and every lead inside becomes theirs.

This is the one to use when you are dividing a town between people rather than handing over one list.

4. Add your team

Go to Team → Add team member.

  1. An email address is all you need

First name, job title and team are optional. Whatever you leave blank, the person fills in themselves the first time they open the app — which is faster for you and more accurate, because they are the one who knows how their name is spelled.

  2. Pick the role

Each one has a line of description next to it:

    • Field Rep — the route, the map and visits on their phone.
    • Manager — team activity and reporting, plus the field app.
    • Admin — everything, including the team and the settings.
  3. Send it, and read what the screen says next

If email is set up for your company, the invitation is in their inbox and the screen says so. If it is not, the screen says nothing was sent and hands you the link to pass on however you normally would.

Both are normal. What matters is not assuming — an admin who believes a rep was notified and finds out a week later that nobody got anything is the problem this screen is built to avoid.

The roster then tells you where each person is: whether the invite was sent, whether they opened it, whether they finished setting up, and whether their badge is active. Filters at the top pull out the ones needing attention.

5. Read the Dashboard

Back on the Dashboard, with real data in it:

  • Four headline numbers — doors knocked, conversations, contact rate and deals won — each compared against the previous window. Switch between the last 7, 14 and 30 days at the top.
  • Doors and conversations over time, on one axis: effort against result.
  • Open pipeline, by stage, with the money in each.
  • Rep performance, and live activity as it arrives from phones.

Two things on that screen are not numbers but jobs, and both only appear when there is something to do: the unassigned-leads banner, and a note about leads a rep changed while they were offline that overwrote an office edit. Both are worth clearing when you see them.

What to set up next, when you have time

None of this is needed on day one:

  • Settings → Visit outcomes — rename and reorder the buttons your reps tap after every knock. The first one gets the biggest target.
  • Settings → Note templates and Photo categories — the one-tap options reps use at a door.
  • Settings → Reporting day — the timezone your numbers are counted on. Worth doing early if your crew knocks in the evening, because on the default everything after about six o’clock lands on tomorrow.
  • Lists — a working set of houses handed to one rep or several, for a storm push or a re-knock. Different from a territory, which is ground one rep owns.

That’s the setup

Your reps plan their own days from here, and everything they record lands back in the Console.

Send them the Rep Quick Start Guide — it is seven minutes and it covers their whole first morning.
